These Terms and Conditions form part of the operating terms of Reload Zone, and together with any waivers or check sheets, form the entirety of the company’s terms and conditions of usage and services.

1. Definitions and Interpretation

1. In these Terms and Conditions:

2. “We”, “Us”, or similar terms refer to Reload Zone, operating at The Hub, Wilnecote, Tamworth, England, B77 5DH.

3. “You”, “Party Leader”, or similar terms refer to the Customer making the booking.

4. “Equipment” means the Nerf equipment and any other items supplied by Reload Zone for use during the party.

5. “Site” refers to the premises at The Hub, Wilnecote, Tamworth, England, B77 5DH.

6. Unless the context otherwise requires, words in the singular shall include the plural and vice versa.

7. Unless the context otherwise requires, a reference to one gender shall include a reference to all genders.

2. Bookings & Cancellations

1. All bookings must be made in advance via our website: www.reloadzone.co.uk. By completing a booking, the Party Leader confirms they have read, understood, and accepted these Terms and Conditions.

2. A non-refundable deposit of £50 is required at the time of booking to secure your party. The remaining balance of £200 must be paid no later than 7 days before the party date. An invoice will be emailed to the Party Leader upon booking and may be paid earlier if preferred.

3. Failure to make payment by the due date will result in the cancellation of your booking and forfeiture of your deposit.

4. Should you need to cancel your booking, please notify us at least 28 days before your party date. Cancellations made with sufficient notice may be eligible for a rebooking within 3 months, subject to availability. Deposits remain non-refundable.

5. We reserve the right to amend or cancel a booking in exceptional circumstances (e.g., illness, equipment failure, or unforeseen venue issues). In such cases, we will offer a rebooking or refund as appropriate.

6. We also reserve the right to remove any party member or cancel a booking without refund if anyone is found to be aggressive, bullying, or acting in a dangerous manner toward staff, guests, or equipment.

3. Responsibilities

1. The Party Leader must ensure all relevant information is provided when booking, and that all guests are informed of these Terms and Conditions.

2. The Party Leader must ensure all players wear sensible footwear — closed shoes only (trainers recommended, no Crocs or sandals).

3. All participants must be fit and able to take part in one hour of Nerf activity, followed by a 30-minute food session.

4. Food is brought by the Party Leader or their guests, and Reload Zone takes no responsibility for the preparation, handling, or serving of external food. It is the Party Leader’s responsibility to confirm any food allergies or intolerances among their group.

5. While every effort is made to ensure safety, minor bumps and scrapes may occur during Nerf play. All staff are First Aid trained and will attend to minor injuries. Any more serious injuries must be treated by the parent or guardian of the child involved.

6. The Party Leader must ensure children are supervised responsibly throughout their visit.

7. Any damage to Reload Zone’s equipment or property caused by a guest will be the responsibility of the Party Leader, who agrees to cover repair or replacement costs in full.

8. Reload Zone is not responsible for the loss or damage of personal belongings. Items brought to the venue are done so at the guest’s own risk.

4. Our Responsibilities

1. We will ensure all equipment is in safe, working order and the area is prepared for use prior to the party start time.

2. We will not be liable for any indirect or consequential loss, damage, or injury unless caused by our negligence. This includes, without limitation, personal injury or property damage.

3. Parking facilities are available at The Hub, and all vehicles and contents are left at the owner’s risk.

4. Except as otherwise required by law, our total liability shall be limited to the refund of any charges paid to us.

5. We reserve the right to make minor adjustments to party timing or format if required for safety or operational reasons.

5. Website and Media Use

1. By booking with Reload Zone, you agree to the terms of use for our website and any associated social media platforms.

2. We reserve the right to withdraw or amend any service offered on our website without notice. We will not be liable if the site or contact methods are temporarily unavailable.

3. Any photos or videos displayed on our website or social media are for illustrative purposes only. Actual setups may vary.

4. We may take photos or videos during parties for promotional use on social media and marketing materials. By booking, you consent to the use of such media. If you prefer no photos or videos be taken, please inform us before your party date.

6. Events Beyond Our Control

1. We are not liable for any failure or delay in performing our obligations where such failure or delay results from causes beyond our reasonable control, including but not limited to fire, flood, power outage, equipment malfunction, illness, or other unforeseen events.

2. In such cases, we will make every effort to rebook your event at the earliest available date.

7. Other Important Terms

1. We may transfer our rights and obligations under these terms to another organisation. We will notify you in writing if this occurs.

2. Each section of these terms operates separately; if any part is found unlawful, the remainder will remain in full effect.

3. Failure by us to enforce any term does not constitute a waiver of our rights.

4. These Terms and Conditions are governed by English law, and you agree to submit to the exclusive jurisdiction of the English courts.
